Pass on applicants with multiple applications in Recruiting

Describes how to pass on applicants who apply to multiple jobs on your website.

This article is for administrators.

You must be an administrator or staffing user. 

The candidate must have multiple applications using the same email address. 

The additional records must be new and not advanced into a hiring stage. 

 

You can pass on multiple applicant records at the same time, so you can manage duplicate submissions more efficiently. This is helpful when applicants apply for more than one job on your careers site. If an applicant is not a fit for one position, they might not be a fit for others. If that is the case, you can pass on their other new applicant records that use the same email address at the same time. 

Note: This feature applies only to other new candidate records that use the same email address. 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Open a new candidate record. 
  3. Find the red status button on the candidate profile. 
  4. Select the red status button to open the Reasons for Non-Selection
  5. Select your Reason for Non-Selection
  6. At the bottom of the list, select the checkbox to pass on all applicant records that are still in the new stage and use the same email address. 
  7. Select Pass on Candidate

After you complete this action, the system passes on all new applicant records that share the same email address. The system leaves any records in later stages unchanged. 

Examples 

Example: Passing on duplicate applications 

  • Before: A candidate has 6 applications, all in the new stage. 
  • After: All 6 applications are marked as passed on. 
  • Before: A candidate has 6 applications, with 1 in Schedule Phone Screen
  • After: 5 new applications are marked as passed, and the record in the Phone Screen stage remains unchanged.  

Troubleshooting 

  • Checkbox option is not visible: Verify the candidate has multiple records with the same email address.  
  • Some records did not update: Confirm those candidates' records were new and not in a current hiring stage.
