Configure Echo settings in Recruiting

Describes how to manage Echo settings so all email communication syncs into Recruiting.

This article is for administrators.

 

What is the Echo feature? 

The Echo feature brings all email communication between you, your hiring managers, and your candidates into Recruiting and displays it on the candidate’s newsfeed. 

It helps your team respond faster and keeps important messages from getting lost in individual inboxes.  

Turn on Echo 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.  
  2. Select Admin > Company Settings > Echo Email User Settings

  3. Set your Echo preferences: 
  • Email 
    • Echo is ON by default for emails. This means that replies to emails will be added to the candidate or job newsfeed. 
    • Turn Echo OFF when emailing candidates means that Echo will not be used when emailing candidates. Replies will be returned to the sender’s email address, not to the Recruiting platform. Internal emails will still be associated with the appropriate candidate or job newsfeed. 
    • Echo is OFF by default for all emails, which means Echo will be disabled for all emailed communications. 
  • Review Requests 
    • Echo is ON by default for Review Requests. This means that replies from internal parties to Review Requests will place the comments on the candidate’s newsfeed. Replies can also include commands like #phonescreen or #interview, and the candidate will automatically move to the corresponding stage. 
    • Echo is OFF by default for Review Requests, which means that replies from internal parties to Review Requests will return to the sender’s inbox. Commands will be disabled. 
  • Feedback Requests (only applicable if Scorecards are disabled) 
    • Echo is ON by default for Feedback Requests. This means that replies from interviewers to Feedback Requests will post the comments on the candidate’s newsfeed.  
    • Echo is OFF by default for Feedback Requests, which means that replies from interviewers to Feedback Requests will return to the sender’s inbox. 
  1. Select APPLY TO ALL USERS to apply the settings across all users. This action overrides individual user settings. 
    Individual users can update personal preferences from the Gear icon > Message Settings > My Settings > Echo Email

 A ribbon displaying Echo appears in the newsfeed on emails sent with Echo enabled. This is a visual cue so you know the reply will also come into the newsfeed, not the sender’s inbox. 

 

Frequently Asked Questions 

Is Echo used for Information Request emails?

Yes. If Echo is on by default for all emails, it will also be on for Information Request emails. Information Requests are used to send a follow-up application to a candidate. If the candidate has questions, they can reply to the email, and Echo will put their comments on the newsfeed. 

 

 
 

When do Echo emails expire? 

Echo emails expire when one of these occurs: 

  • A candidate is rejected 
  • A job is marked closed or filled  
  • After 90 days   

After an email expires, anyone who replies to it receives an automated response asking them to contact the corporate address of your company. 

 

You can manually expire emails by selecting the three ellipses icon on the top right of a message in the Newsfeed. Manually expiring messages is a good idea to prevent people from spamming that email address or replying to an outdated email exchange. 

 
 

Can Echo be turned off on a case-by-case basis? 

Yes. If you need to request information from a candidate and do not want the reply to go onto the newsfeed where other people may have access to it, when sending your email, toggle the Echo ON switch to off. The reply will go to the sender’s inbox, not the Newsfeed. 

This feature is useful if you need to collect any sensitive info or Personally Identifiable Information (PII).
