Create a candidate in Recruiting

Describes how to quickly add a new candidate to a job, fill in required fields, upload a resume, and save or clone entries to add more candidates.

This article is for administrators.

You must have at least one active job to add a candidate to a job, or you must use the general candidate pool.

 

You can manually add candidates to an open job or to the generic candidate pool in your Applicant Tracking System. This option is useful when you find or receive a candidate's information from outside of your ATS. You can add them to the platform and work with them through your hiring process. 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Select Create a Candidate
     
  3. Complete the required fields. 
  • Required fields are marked with a star icon. 
  • Link the candidate to an active job or the general candidate pool. 
     
  1. Review and update these fields: 
  • Candidate Type and Candidate Source to track where the candidate originated. 
    • You can update these fields later from the candidate profile. 
  • Profile/Web page becomes not required when you enter a valid email address. 
      
  1. Add a resume if available. 
  • Paste the resume text into the open area or drag and drop the file into the open area, or select Upload to add a file. 
  • To auto-fill fields, select Parse. If parsing fails, you must complete the required fields manually before the candidate can be created.  
  • Review parsed information carefully to ensure all required fields are accurate before saving.   
  1. Select Save. The candidate is added to the job or the generic candidate pool. 
  • Repeat the process to add additional candidates as needed. 
  • To add more candidates to the same job with the same source information, select Save and Clone
      

Troubleshooting 

  • Cannot save the candidate: Verify all required fields are complete.  
  • Resume does not parse: Enter the required details manually.  
  • Candidate not linked to a job: Confirm you selected a job and not the general candidate pool before saving.
