Manage budgeted groups and titles in Recruiting

Describes budgeted groups and titles and how to set them up in Recruiting.

This article is for administrators.

 

Budgeted groups and titles are internal classifications for your jobs, so you can align the jobs you create in Recruiting with the job titles you use internally.  

These internal job titles are called budgeted titles. 

Note: Budgeted titles never appear externally. 

Example

  • Your organization hires Engineering interns every Fall. 
  • Internally, you might use SF-Engineering-Fall-Intern-2017 as the budgeted title
  • Externally, the job posting can appear as Engineering Fall Intern

Budgeted groups and titles are available as reportable fields in Recruiting’s Analytics & Reporting. 

Set up budgeted groups and titles 

Important: You must be an Administrator to perform this task. 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.  
  2. Select Admin, then select the Company Settings tab.  
  3. In the menu, select Budgeted Groups and Titles
  4. In the Add Budgeted Groups and Titles to New Jobs section, select one of the following options: 
  • Off: Do not use Budgeted Titles. 
  • On-Optional: Allow users to optionally assign Budgeted Titles to jobs. 
  • On-Required: Require all new jobs to have a Budgeted Title assigned. 
      
  1. Select Save
  2. Set up your budgeted groups and titles. 
  • Budgeted groups are folders that contain individual budgeted titles
  • Create budgeted groups first. Then add budgeted titles to the appropriate group folders.  
  • A common approach is to create budgeted groups based on departments or teams. 
  • Note: There is a limit of 200 budgeted groups and 1,000 budgeted titles. 
     
  1. To find jobs that do not have a budgeted title assigned, review the notification near the top of the Budgeted Groups and Titles page. This indicates the jobs that have not been assigned to a budgeted group and title. Select View these jobs
      

Choose a budgeted title when creating or requesting a job 

When this feature is enabled, the Create a Job page includes a Budgeted Title field. 

Note: The field can be optional or required, depending on your configuration. 

  1. Select Create a Job or Request Job Approval from the left menu. 
  2. On the Create a Job page, select Budgeted Title.   
     
  3. In the Budgeted Title selection window, select the appropriate Budgeted Title.  
  4. Select Save to associate the job with this budgeted title.  

Tip 

To create new budgeted groups and budgeted titles on the fly, select Manage Budgeted Groups and Titles from the Budget Title selection window. 

Use budgeted titles with job approval 

If your organization uses Job Approval

  • Job requestors can select a Budgeted Title as part of the requisition form. 
  • Configure this option in Admin > Approvals > Job Approval Form
  • If your organization elects to have job requestors select a Budgeted Title, this title can always be adjusted by the HR Administrator who activates the job after approval. 

Change a budgeted title for an existing job 

  1. Select the job title from the Active jobs dashboard.  
  2. Select the job's More Info icon.  
  3. Select the Budgeted Title field under the Job Info tab.  
  4. Select the appropriate Budget Title in the Budget Title window.  
  5. Select Save
