Send and manage candidate text messages in Recruiting

Describes how to send and manage text messages to communicate with candidates and track their responses.

This article is for administrators

  • The text messaging feature must be turned on for your company, and the registration must be complete. 
  • Administrators and Staffing users can always send text messages. 
  • Standard users can send text messages if their company has allowed it. 
 

Send text messages 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. From the candidate record, select the text message icon.

  3. Enter your text or use Templates to apply a saved text message template.

  4. Select Send Text Now to send the message immediately.

  5. To schedule the message, select the clock icon and select a date and time. 
    1. Select a preset option or in the Some Date at field, enter a custom date and time to schedule the message delivery for a day in the future.

  6. To cancel a scheduled text, find the scheduled message in the Newsfeed. Select the vertical ellipses icon and select Cancel Scheduled Send.

Note: The same options for scheduling and canceling are available for email and text messages. 

After you send a text message, the message thread appears in the candidate record, and the candidate receives the text.

Notifications 

Stay on top of candidate communications without constantly checking individual records by enabling notifications. You can receive real-time alerts through the Notification Center (bell icon) or get updates sent directly to your email. These notifications help make sure you never miss a candidate's email or text message. By setting them up, you are proactively informed of responses for any job where you are the Hiring Manager or Recruiter. This allows you to respond quickly and keep the hiring process moving. 

  1. Select the Settings icon, then select Notification Settings

  2. Find Notify me when a message is received from the candidate and select Notification Center and/or Email

Turn on/off text for a candidate 

You can update a candidate’s text message settings when needed. Their choice may change, or texting may not have been available when they applied. Make sure you get the candidate's permission before you make any changes. Administrators and staffing users can change these settings to keep preferences correct and follow company rules and legal requirements. are accurate and compliant. 

  1. From the Candidate Profile, select the Info icon. 
  2. Select Privacy Tools
  3. Use the toggle next to Enable Text Messages to turn text messaging on or off for this candidate. 
  4. Select CLOSE to save. 
    Note: Only Administrators or Staffing users can access Privacy Tools.
