Create and share recruiting email templates

Overview

In Recruiting, you can create email templates for messages you send often. Templates help you save time. They also help you send clear and consistent messages.

You can create templates for emails like these:

  • Phone screen requests
  • Feedback requests
  • Interview confirmations
  • Writing sample requests
  • Reference requests
  • Directions to your office

Use auto-fill tokens to personalize emails

Auto-fill tokens are placeholders you can add to any template. They help personalize each email you send.

To use an auto-fill token:

  1. Copy the token.
  2. Paste the token into the email template.
  3. Recruiting automatically inserts that information into every email.

Create and share personal email templates

  1. Go to People > Hiring > Applicant Tracking.
  2. Select the Gear icon in the top right. 
  3. Select Message Settings.
  4. Select the My Templates tab. A list of template categories opens.
  5. Select a category. 
  6. Select Create a New Template.
  7. On the right, create the template.
    1. Template Name, Subject Line, and Message Body are required fields.
  8. Select Save.
    1. Note: If you already set up your signature in Recruiting, do not add it to the template. Your signature is automatically included on every template.
  9. At the top of the template screen, select Share this Template. Other users can now use your template.


Create default new user email templates (All Users)

Default new user email templates are the templates that every new user gets.

Create default templates

  1. Go to People > Hiring > Applicant Tracking.
  2. Select AdminMessage TemplatesNew User Templates.
  3. Select Create a Standard User Template.
  4. On the right, create the template. 
  5. Select Save

To reset an existing user template to the default, refer to Update user email templates with company default templates in Recruiting.
