Recruiting: Manage Pending Thank You Letters

Describes how to manage your Pending Thank You letters.

OVERVIEW

The Pending Thank You Letters section in Recruiting: 

  • Stores letters for candidates awaiting a decision to either Send or Do Not Send letters to. 
  • Allows you to quickly review candidates who were passed on, and those who were sent Thank You Letters in bulk.

WHY CANDIDATES APPEAR IN THE PENDING THANK YOU LETTERS SECTION

Here are the reasons: 

  • When someone who is not allowed to send Thank You Letters passes on a candidate, the candidate goes into the Pending Thank You Letters section while an Admin or Staffing user decides whether or not the candidate should receive a Thank You Letter. By default, Recruiting does not allow your Standard Users to send Thank You Letters to candidates when passing on them (configured under Admin > Email Templates > Who can send Thank You Letters). 
  • If candidates fail to pass the Minimum Qualification Questions associated with a job, they are automatically passed on and added to the Pending Thank You Letters section.

ACCESSING THE PENDING THANK YOU LETTERS SECTION

  1. If your organization has Pending Thank You Letters, towards the top of your Home Dashboard, a dark gray bar appears alerting you about the Pending Thank You Letters. Click Click here to manage them now to enter the Pending Thank You Letters area.This information appears: 
    • All the candidates who are awaiting a decision to either Send or Do Not Send a Thank You Letter.
    • For each candidate, this also appears:
      • Information on the job they applied to.
      • The highest stage they reached in the application process.
      • The Thank You Letter template to be sent if you decide to send them one.
  2. Select a set of candidates depending on the situation:
    • Select Send to sendall candidates in the set Thank You Letters at once.
    • Select Don't Send to not send them any Thank You Letters, which also removes these candidates from this list.
