Cancel a Paycor Recruiting subscription

Describes how to cancel a Recruiting subscription, request a data export, and understand billing requirements before your account is closed.

This article is for administrators.

Important:

  • Read this article carefully before you cancel your account.
  • Customers can be billed for Paycor Recruiting in different ways. Contact the correct team to make sure your cancellation is processed correctly. 
 

Before you cancel

  • Recruiting customers are billed in different ways. Follow the instructions that match your account type to help ensure your cancellation is processed correctly. 
  • If you need a copy of your recruiting data, request a data export before your account is permanently removed. 

Keep Recruiting access after you cancel Paycor products 

If you are canceling your Paycor products but want to continue using Recruiting, contact RecruitingSupport@paycor.com or notify any Paycor representative that you are interested in Extended Recruiting Access. 

To keep access to your Recruiting account: 

  1. Review the Statement of Work (SOW) for extended services and any related costs. 
  2. Request extended access as early as possible to help avoid a service interruption.  
  3. You will keep access to your current Recruiting account and receive an alternative login method for use after your main Paycor account is no longer available. 

Recruiting cancellation requests for Paycor customers 

This section applies to customers who use Recruiting with other Paycor products, such as Payroll, Benefits, or Time, and whose Recruiting charges appear on their Paycor invoice. 

Note: Access to Recruiting ends on whichever occurs first: 

  • The end of the month in which cancellation is requested. 
  • The date your Paycor access is terminated. 

Cancel Your Subscription 

  1. Contact Paycor Support at (855) 565-3285. 
  2. Have your Paycor Client ID available. 
  3. Discuss your cancellation request and any remaining billing obligations. 

Recruiting Cancelation Requests for Legacy Recruiting (formerly Newton) Customers  

Legacy Recruiting clients do not have a Paycor client ID. If you are not sure what type of account you have, email RecruitingSupport@paycor.com for assistance. 

Requirements for Cancellation 

  • Paycor requires a 30-day written notice for all direct clients canceling Paycor Recruiting. Email is considered written notice. 
  • You must be an administrator in your Recruiting account to request cancellation. 

Cancel a Standalone Recruiting Account 

  1. Email RecruitingSupport@paycor.com and request cancellation. Include: 
  • The reason for cancellation. 
  • The date you want the cancellation to take effect. 
  1. After Paycor receives your notice, the billing team finalizes your billing and processes the cancellation. 
  2. Paycor sends instructions for requesting your data and managing your account before closure. 

Complete These Tasks Before Cancellation 

Update Your Career Site 

Work with your website team to remove or update: 

  • Embedded recruiting iframes. 
  • Links to Paycor-hosted career pages. 
  • Career page buttons or menu items that direct candidates to Recruiting. 

Complete Recruiting Activity 

Before access is removed: 

  • Close all active job postings. 
  • Complete any outstanding candidate activity. 
  • Inactivate all jobs. 
  • Confirm that you have zero active jobs. 

Request a Data Export 

Data exports are not sent automatically. 

To receive a copy of your recruiting data, email RecruitingSupport@paycor.com before your account is removed. 

Data Exports 

Paycor offers a one-time export of your Paycor Recruiting data. 

  • Data exports are not sent automatically when an account is canceled. You must request the export by emailing RecruitingSupport@paycor.com.  
  • Data exports are processed over the weekend and delivered the week following the submitted request. 
  • Data is delivered in a zip file and emailed via Citrix to the designated recipient.  
  • The export file needs to be downloaded and stored within 7 days. 
  • If you do not request a data export, Paycor Recruiting permanently removes account information between 30 and 90 days after cancellation. 
  • Paycor cannot provide a data export if your account is past due. 

The exported data includes all data for all time. It is in standard HR format. It is not customizable.  

  • The data export is a series of CSV files (one for jobs the other for candidates) and corresponding folders that contain all attachments like resumes, scorecards, attachments, etc. There is also be a final EEO flow log. The export can be imported into other ATS systems or easily stored and referenced in the future.   
  • For mapping purposes you can expect the following fields on the files:  
    • Candidate CSV files: Candidate ID, First Name, Last Name, Job GUID, Email, Email2, Address, Address #2, Country, City, State, Zip, Mobile#, Alt#, Work#, Candidate Source, Resume, Current Status, Comments, Date Added, Date of Last Update, Resume File Name, Resume Path, Attachments Path, Candidate Type, Candidate Application, Offer Letter Attachments, Scorecards  
    • Jobs CSV file: Job GUID, Job Title, Location, Department, Job ID, Status, Description, Date Activated, Date Last Updated, Hiring Managers, Recruiters, Team Members, Budget Info, Attachments.  

If you’d like a sample of an export, Recruiting Support can provide one when you submit your export request.  

Administrator License Cancellation and Removal 

Administrator licenses are billed as subscriptions and are not based on usage. 

  • If you remove an administrator, the license remains available for another user because billing continues for that license. 

Important

  • Email recruiting-billing@paycor.com if you want unused administrator licenses removed from billing. 
  • Deactivating or deleting an administrator does not remove the license from billing. 
  • Billing continues until you contact Paycor and request license removal.
