You must have Agency Manager turned on for your organization.
You must have Administrator or Staffing user permissions.
Invite an agent
- Go to People > Hiring > Applicant Tracking to open the Recruiting platform.
- Go to Administrator > Agencies > Approved Agencies tab.

Select Invite an Agency and enter the agent's email address.
- Select Send Invite.
The recruiting agent will receive the email inviting them to your account with very limited access. They will see the jobs that are open for their candidates and where they can submit candidates for your evaluation.
Note: Invitation links expire after 3 days. If the agent does not accept the invitation within 3 days, repeat these steps to send a new invitation.
Approve jobs for agency submissions
- From Admin > Agencies in the Recruiting platform, go to the Agency Jobs tab. A list of your open jobs appears.
- Select the job openings you want to receive candidates for from agents.

Select Approve for Agencies.
The job will have a $ icon on your active jobs dashboard if the job is accepting candidates from agencies.

Select the agents who will see these jobs and will be able to submit candidates.
- Select Save.
Review agency representation requests
Agents will submit candidates directly to the job record in your Recruiting account. You will review and either accept or deny the submission.

From the Recruiting platform, open the candidate record. A $ icon and the agent’s name in the source spot at the top of the candidate record appears. It says Agency Candidate in the hiring stage.
- Review the agency representation request and select the appropriate action:
- Grant agency representation: this means that you’re accepting the candidate and will continue your evaluation.

Deny agency representation: this means that you’re not accepting this candidate.

The agent will receive a notification with your decision.
Note: Only users with the permissions defined by your Administrator during Agency Manager setup can review and approve agency representation requests.
After you invite an agent, the agent receives an email invitation to access Agency Manager.
After you approve jobs for agencies, authorized agents can submit candidates for those job openings.
After you grant agency representation to a submitted candidate, hiring managers assigned to the job can view the candidate in Recruiting. If you deny agency representation, the candidate remains hidden from hiring managers.
