Monitor Recruiting activity with analytics

Describes how to use the analytics dashboard.

This article is for administrators.

 

The Analytics dashboard provides a visual summary of recruiting activity and hiring performance. It helps users understand candidate volume, identify bottlenecks, evaluate recruiting sources, and monitor hiring trends over time. 

Analytics is available to all users.  

Access analytics 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Select Analytics > Overview.  

Adjust the date range and data set 

Analytics displays information within a particular date range and for a specific data set.   

 

To change the reporting period date range: 

  1. Select the date range selector (Last 30 Days in the above image example). 
  2. Select a predefined range, such as:  
  • Last 7 Days 
  • Last 14 Days 
  • Last 30 Days 
  • Last 60 Days 
  • Last 90 Days 
  • This Year 
  • Last 365 Days 
  1. Or select a custom date range. The dashboard updates automatically based on the selected timeframe.  

To change the included data set: 

  1. Select the data set selector (All Data in the above example). 
  2. Select a filter, such as:  
  • Departments 
  • Locations 
  • Jobs  
  • Users 
      

The dashboard updates automatically based on the selected data.  

Note: if a Standard (non-admin) user has restricted visibility turned on for their account, their numbers on this page will only reflect jobs assigned to them. This means that two people looking at the same date range may see different totals. Refer to Stop Users from Seeing All Candidates and Job Postings for more information.   

Summary Bar 

This row is right under the Date Range and Data Set selector, and contains information about how may jobs were active at various times during the Date Range. Clicking any of the links open the underlying list of jobs so you can see exactly which jobs make up the number. 
 

  • [Start date of the data range] — X Jobs were Active: A snapshot of how many jobs were active at the exact start of your selected date range. It's a point-in-time count, not something that happened during the range. 
    • In the above example, 8 jobs were active on July 20, 2026, the start of the selected date range. 
  • Today — X Jobs are Active / X Jobs are On-Hold: The live count of active/on-hold jobs right now, regardless of what date range is selected. 
    • This will not be impacted by the date range. It will always display what is active right now.  
    • In the above example, right now, there are 8 active jobs. 
  • Date Range — X Activated / X Closed / X Filled: Counts of events — how many times a job's status changed to Active, Closed, or Filled during the selected range. If a job was activated and then closed within the same window, it's counted once in each bucket. 
    • In the above example, during the last 30 days, 1 job was activated, and 1 job was closed.  

The stage/status tile row (New Candidates - Hires) 

This is the row of large numbers just under the top bar. You will see stages like: 

  • New Candidates  
  • Schedule a Recruiter Screen  
  • Recruiter Screen Scheduled  
  • Review Requests  
  • Schedule a Phone Screen 
  • Phone Screens Scheduled  
  • Schedule an Interview  
  • Interviews Scheduled  
  • Background Check Completed  
  • Offers  
  • Hires 
     

Only default hiring stages from the Recruiting platform will be visible (custom hiring stages will not display). 

Every number is an event count. It does not represent a headcount or how many candidates are currently in that status. A candidate may be counted more than once if the candidate enters the same stage multiple times (e.g., rejected then reinstated back into a stage).  

Hires is calculated differently; it represents a headcount of candidates who moved into Hired status during the range.  

Selecting a number link opens a list of candidates who make up the total. 
  

Daily Candidate Flow Charts 

Inflow Metrics 

These are the details above the date. There are two options: 

  • New Activity vs Stage Total 
    • New Activity (blue bars): This is how many candidates newly entered the selected stage on that specific day. This is a daily count, not a running total. 
    • Stage Total (orange line): This is a running total: how many candidates are sitting in the selected stage as of each day, carrying forward from the previous day plus that day's new arrivals. Think of it as a headcount-over-time line. 
       
  • By Source 
    • The New Activity bars color-code where each candidate came from (Site Applicant, Referral, Agency, etc.). The number counts don't change, they're just split out by source. 

Outflow Metrics 

Outflow (details below the date) represents candidate progression through the hiring process. Every time a candidate leaves the selected stage, that move is classified into one of three buckets: 

  • Pursued: Moved forward to the next stage or resumed after being on Back Burner. 
  • Inactivated: Rejected or withdrawn.  
  • Back Burner: Moved to the Back Burner. 

These visualizations help identify recruiting trends and workflow efficiency.  

Note: Only pursued and inactivated count towards the percentage. Back Burner is left out. 

Review Average Days to Pursue 

The Average Days to Pursue section measures how long candidates spend in each stage before moving forward. 

Use this information to: 

  • Identify delays 
  • Find bottlenecks 
  • Evaluate recruiter responsiveness 
  • Improve hiring manager turnaround times 

Selecting a stage provides additional details about the jobs contributing to that metric and will help you identify if there are outliers skewing the results or if there’s an opportunity to refine your process.

Review Candidate Sources 

The Candidate Source section shows where candidates originate and how they progress through the recruiting process. 

You can evaluate the source volume by stage to better understand: 

  • Applicant volume  
  • Interviews pursued  
  • Hires generated  
  • Source effectiveness 

This information helps determine which recruiting sources produce the strongest results. You’ll see the top 5 sources for candidates in each stage.  

  • This is per-candidate, not per-event.  
  • Sources are grouped into categories like Site Applicant, Posting Response, Referral, Agency, Resume Bank, and Passive Candidate.

Candidate Distribution 

This provides a snapshot of how candidates are distributed across your jobs.
   

Only jobs with at least one qualifying candidate are shown. Jobs with zero candidates in the selected stage/range don't appear in the list. 

Active, N days ago measures how many days it has been since that job’s status last changed, not since the original job creation date. If a job’s status changes from active to filled and then back to active, the number of days will reflect the number since the last status update.   

Missed Opportunities 

This section provides an overview of candidates that have dropped out of the recruitment process, either by their own choice or by inactivation from a member of your team. 
  

  • Resumes Currently on Back Burner: A live snapshot of every candidate currently sitting on the Back Burner right now, across all stages. 
    • This is not impacted by the date range selected. It’s always current, as of right now.  
  • Phone Screens NOT Scheduled: Candidates who reached "Schedule a Phone Screen" but did not get moved forward during the selected range (i.e., they were rejected, paused, or otherwise didn't progress). 
  • Interviews NOT Scheduled: Candidates who reached "Schedule an Interview" but did not get moved forward during the selected range (i.e., they were rejected, paused, or otherwise didn't progress). 
  • Offer Stage NOT Hired: Candidates who reached Offer status but were not moved to Hired during the selected range. 
  • No Starts: Hires that were specifically marked as a "No Start" during the selected range.   

Export Analytics Data 

To export dashboard information: 

  1. Determine if you want your data grouped in the exported results.   
     
  2. Select Export.  
  3. Select the link to open the file in Excel for further analysis or sharing. 
      

Analytics exports provide a convenient way to distribute recruiting metrics across the organization.  

Note: Recruiting Analytics does not roll up into Analytics that is accessible from the main Paycor platform. They’re entirely separate. Recruiting = not yet employees. Paycor = employees.  

Frequently asked questions

Why is "Resumes Currently on Back Burner" the same no matter what date range I pick? 

It's the only figure on the page that ignores the Date Range selector. It's always a live, right-now snapshot of candidates on the Back Burner, not something tied to a time window. 

 
 

Why does the New Candidates tile show more than my actual candidate count? 

This is an activity count, not a unique headcount. It counts every time a candidate entered that status, including re-entries. Selecting the number link shows the actual candidate list behind it. 

 
 

What's the difference between the orange line and the blue bars on the flow chart? 

The blue bars ("New Activity") are how many candidates entered the stage that specific day. The orange line ("Stage Total") is a running total of how many are sitting in that stage as of that day, carried forward day to day.  

 
 

Why don't my Pursued/Inactivated/Back Burner percentages add up the way I expect? 

Back Burners are intentionally excluded from the Pursued/Inactivated percentage calculation. Those two percentages are relative to each other only, not to the total outflow including Back Burner.  

 
 

Why can't I see a "Background Checks" option in Candidate Distribution? 

Recruiter Screen and Background Checks aren't part of the stage list at this time. 

 
 

Why do two users looking at the same date range see different numbers? 

If your company settings restrict Standard users to only see their own assigned jobs, this entire page (including Missed Opportunities) is silently scoped down to that user's jobs. Admin and Staffing users see the full picture.
