Important
To use the Onboarding feature in Recruiting, you must have one of these roles:
- The Hire Employees role lets you see all pending new hires.
- The Limited Employee Hiring role lets you see only new hires transferred from the ATS application.
Overview
Recruiting helps you move new hires into Paycor fast. This starts the electronic onboarding process.
After you transfer a new hire, you must send the Onboarding Registration email in Paycor. This email starts onboarding.
Understand the transfer hire feature
Recruiting lets you mark a candidate as hired. It then sends their information to Onboarding.
This step starts the onboarding process for the new hire.
Recruiting also works with other HR systems. It uses the Export Hire Web Service.
Recruiting Direct customers can work with their HR system provider. If the provider can send data using REST APIs and HTTP POST, the systems can connect.
Recruiting already works with many systems. Because of this, custom integrations are not common. If your HR or payroll system can connect to the Recruiting API, Support can help test it.
Know who can transfer hires from Recruiting
- Administrators: Can transfer hires by default.
- Staffing and Standard Users: Can transfer hires if you allow it in integration settings. You can choose which specific users get this access.
Transfer a hire from Recruiting
There are two methods to transfer a hire:
Method 1 - Mark the Candidate as Hired
- Mark a candidate as Hired. The Transfer a Hired Candidate window opens.
- Review and update the Candidate Information. Make sure all required fields are complete.
- Review the Attachments section:
- Files in the Document section of the Candidate Profile display here.
- All files are marked by default and will transfer.

Remove the mark from any document you do not want to transfer.
- Enter Onboarding Information if Paycor is connected. You may need to add:
- Client ID, Job (title), Department, and Work Location.
- If you use the Transfer Hire integration with another HRIS provider, this step does not display.
- Review the final summary.
- Select Transfer Candidate to complete the transfer. A message displays to confirm the successful transfer.

This occurs:
- The new hire shows on the Pending New Hires screen in Paycor.
- Transferred files save to People > People Settings > Document Library in Paycor.
- These files do not show during onboarding. Files show only after onboarding is complete.
- The new hire shows on the Pending New Hires screen in Paycor.

This occurs:
- Access the new hire in Paycor and send the Onboarding Registration email to start the onboarding process.
Method 2 - Use the Integration Dashboard in Recruiting
- In Recruiting, select Integrations, then select Perform Integration.
- Review transfer status. You can track candidate transfers that are: Pending, Transferred, and Not Transferred.
- Send the Onboarding Registration email to start the onboarding process.
Review data that moves from ATS to Onboarding to Pending New Hires
When you hire an employee, you can transfer their data from the Applicant Tracking System (ATS) to Paycor:
- First name
- Last name
- Physical address
- Contact information
- Attachments:
- Includes Application, Offer Letter, Resume, and any document uploaded to the candidate profile in the ATS.
- Image files are not accepted
- Pay Rates (candidate pay information)
- EEO information-only if collected during the hiring process
- Work Location
- Job Title
Send registration emails to start onboarding
After a new hire is transferred from Recruiting, they show on the Pending New Hires screen in Paycor.
Users with the Hire Employee role get an email when a new hire finishes onboarding.
In Paycor, access the pending new hire using either of these two ways:
Method 1 - All People
- Select All People. The Manage Employees section displays.
- When you have new hires pending, there's a notification at the top indicating how many. You must have the Hire Employees role to access this section.
- Select the Pending New Hires link. The New Hire Tracking screen shows this information: Name, hire date, invite date, Client ID, email address, onboarding progress, and group.

Method 2 - People > Hiring
- Select People > Hiring > New Hire Tracking.
- The New Hire Tracking screen shown above appears with this information: Name, hire date, invite date, Client ID, email address, onboarding progress, and group.
- Mark the checkbox next to the new hire you want to add.
- Select Actions, then select Send Onboarding Invite/Reminder to (1) employee. A green banner displays at the top to confirm the email was sent.
