You must have administrator or staffing user access to manage hiring processes.
Custom stages and statuses help you align hiring workflows with key events in your recruiting process.
For more information on creating and implementing a customized hiring process, refer to Create and manage a custom hiring process.
Notes
- Only default stages are connected to key features such as interview scheduling, background checks, and offer letters.
- Turning off a default stage in a hiring process can prevent your team from using key recruiting features.
- Custom stages and statuses only support posting comments.
Create a custom stage
- Go to People > Hiring > Applicant Tracking to open the Recruiting platform.

Select Admin, and then select Job Management. The Job Management screen opens and defaults to the Hiring Process tab.
- On the Hiring Processes tab, find the enabled hiring process you want to edit and select it or select Create a New Process.

In the Hiring Stages and Statuses section, select the Add (+) icon between the default stages in the hiring process. The Add a New Stage & Status section opens.

In the new stage section, select the Add (+) icon next to Stage Name drop-down menu. The Add Custom Stage window opens.
- Enter a Stage Name, Stage Abbreviation, and at least one Status Name.

To reorder custom statuses, use the arrows beside each Status Name field.
- Select Save in the Add Custom Stage window. The Custom Stage is added to the current Hiring Process in the location you chose.

Select Save at the top of the Hiring Process window. The new Custom Stage is added to your organization’s Stage Library and your hiring process is updated with the custom stage.
Add an existing custom stage to a hiring process
You can add an existing Custom Stage while creating or updating a Hiring Process.

Select Admin, and then select Job Management. The Job Management screen opens and defaults to the Hiring Process tab.
- On the Hiring Processes tab, locate the enabled hiring process you want to edit and select it or select Create a New Process.
- In the Hiring Stages and Statuses section, select the Add (+) icon between the default stages in the hiring process. The Add a New Stage & Status section opens.

In the Stage Name drop-down field, select an existing Custom Stage. Select Add. The stage is added to the current Hiring Process in the location you chose.
- Select Save at the top of the Hiring Process window. The Custom Stage is added to your organization’s hiring process.
Remove a custom stage

Select Admin, and then select Job Management. The Job Management screen opens and defaults to the Hiring Process tab.
- On the Hiring Processes tab, locate the enabled hiring process you want to edit and select it.
- Locate the custom stage you want to remove.

Select the More Options icon on the stage.
- Select Remove. The Custom Stage is removed from the current Hiring Process.
- Select Save at the top of the Hiring Process window. The Custom Stage is removed from your organization’s hiring process. The stage remains in the stage library for future use, unless removed separately.
Edit a custom stage

Select Admin, and then select Job Management. The Job Management screen opens and defaults to the Hiring Process tab.

Access the stage library from the Settings page.

Select the Edit icon next to the custom stage you want to edit. The Edit Custom Stage window opens.
- Update the Stage Name, Stage Abbreviation, Status Names, or status order as needed.

Select the acknowledgment checkbox and then select Save.
Note: Changes to a Custom Stage are immediately reflected in every Hiring Process that uses that stage.
Access the stage library
- Select Admin, and then select Job Management.

Select the Settings tab. A list of available Default Stages and Custom Stages displays.
View Reporting for Custom Stages and Statuses
Some report templates that include job information can display the custom stages and statuses in your hiring process by using the Additional Columns section to customize the report.

Hover over the Analytics option and select Reports.
