Manage Gravity users, reports, and employee communications

Learn how to announce the Gravity app to employees and manage users, reports, and messages after turning it on for referrals.

Use this article after you have enabled the Gravity app in Recruiting

This article includes an email template for announcing Gravity, steps for managing users, reporting options, and instructions for enabling employee voucher emails. 

Announce Gravity to employees 

  1. Copy and paste the email template below into a new email and customize to announce the Gravity app and your employee referral program. 
  2. Download the Gravity App Flyer and attach it to the email.  

Email Template 

Hi team,

Good news! We are rolling out a new program to track employee referrals called Gravity.

Gravity helps us thank and reward team members who help us find great new people. It is a mobile-friendly, web-based app that makes it easier to share jobs on social media, tell us about people you know, and earn rewards for helping the team.

With a few clicks, you can share jobs on LinkedIn, Facebook, Google+, and Twitter.

You earn points and rewards when you like, post, and share jobs. You earn even more points when the people you refer apply and get hired! [Add details here about your company's reward program and structure]

When someone you refer applies, you will receive an Employee Voucher Email. You always know when someone uses your name on their application. Your comments go straight to the recruiting team.

Get started by signing up at: https://www.thegravityapp.com. [Enable the link in your email]

You can also check out the attached PDF to learn more. After you sign up, you can start sharing jobs and move up the scoreboards.

 

Manage and invite users 

  1. Sign in to the Gravity app. 
     
  2. Select the vertical ellipses icon. Select Admin
     
  3. Select Administer Users from the Administration area. 
     
  4. The User Administration section opens. Here you can manage user roles in Gravity, disable access, or delete a user.

  5. Ask your employees to visit the Gravity app and verify their work email address. 
  • If an employee does not have a work email address:  
    • Provide the employee with an invitation link. 
    • FInd the link at the bottom of the User Administration page, below the Submit button. 

View user activity reports 

You can view reports for monthly and all-time user activity. 

To open a report: 

  1. Select Leader Reports from the Administration area. 
     
  2. On the Leader Reports page, you can adjust the date filter to see points earned and hires made per employee in a given period through Gravity referrals. 
  3. To save a copy of the report, select a Download option. 
    Shows the Leader Reports section that includes a From and To date section and two hyperlinks to download data shown and download all data.   

Turn on and edit employee voucher email 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.  
  2. Select Admin, then select Message Templates
  3. In the Gravity Recommendation section, select Settings and Enable Gravity Recommendation
  4. Select Save
     
  5. In the Gravity Recommendation section, select Recommendation Template
  6. Edit the email sent to employees when someone applies through their referral link. 
  7. Select Save.
