Create a new user in Recruiting

Learn how to set up new users in Paycor Recruiting.

This article is for administrators and Staffing users.

 

Overview 

Typically, most users created in Recruiting are Standard Users. These users are free and unlimited. 

There are also options to create a user as an Admin or Staffing user.  These user types require a license in Recruiting.

All Users must be assigned a role on a position to view job and candidate details and to take action on a candidate. Available roles include: 

  • Hiring Manager
    • Key managers responsible for the job. 
  • Recruiter 
    • Recruiter or HR team member that oversees the management and hiring process for that job. This role requires the user to be either an Admin or Staffing user in Recruiting. 
  • Executive 
    • Supervisors who want visibility into hiring but do not manage the job or receive regular notifications. 
  • Team Member 
    • Employees who support the hiring process but do not have access to budget details. 

Pro Tip 

Standard Users see limited information until they are assigned to a job via a role. To improve their first experience: 

Select Do Not Send to invite the user when creating the user. 

Assign them to a job or jobs and add candidates for review. 

Send the invitation later once they are assigned to their jobs.  For more information on sending user invitations, refer to Send an invitation email to new users in Recruiting

Create a new user 

  1. Go to  People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. The Applicant Tracking link will navigate you to the Home Dashboard in your Applicant Tracking System.

  3. Select Admin, then select Users
  4. Select Create a User
  5. Enter all required fields: 
  • First Name 
  • Last Name 
  • Email Address  
  1. (Optional) Complete additional settings, such as assigning a department to make job assignment easier. 
  2. Review the Additional Permissions area to customize this user’s access within Recruiting. 
  3. Assign a User Type – Standard, Staffing or Administrator.  Remember, Staffing and Administrator assignments will require a license. 
  4. Select Save
  5. Choose whether to send the invitation email: 
  • Send Now: Sends login setup instructions immediately 
  • Do Not Send: Send later from the user record (we recommend not sending the invitation until the user has been assigned to jobs) 

As an alternative or second option to log into Recruiting, you can enable Paycor Single Sign-On (SSO) access for users, once they are created as a user in Recruiting. Assure SSO access is enabled when applicable.  For additional information on enabling SSO access, refer to Enable Single Sign On (SSO) and the Recruiting Widget.  

The user is now created in your Applicant Tracking System and can be found under Admin > User List.
