Common questions and answers about billing for customers with Standalone Applicant Tracking for Recruiting.

This article provides answers to common billing questions and troubleshooting information for customers with Legacy Applicant Tracking, formerly known as Newton Software. 

Billing basics for legacy Recruiting customers 

  • Legacy Recruiting is billed as a monthly subscription and is not based on usage. 
  • Billing begins on the date your order form is signed. 
  • To stop billing, email Recruiting-Billing@Paycor.com. Billing continues until a cancellation request is received. 
  • Refunds and credits are not provided for missed or late cancellation requests. 
  • If payment is not received by the due date, account access may be suspended and late fees may apply. 
  • Most customers are billed month to month, but some customers have annual plans.

How do I log in to pay my Invoice?

You can access the Payment Portal at https://recruiting-payments.paycor.com.

 
 

How do I get help with Billing?

If you have questions about an invoice or payment, contact our Billing team at Recruiting-Billing@Paycor.com. 

 
 

How do I pay invoices in the Payment Portal?

  • Access to the payment system is provided by email address for security purposes. 
    • If you received an invitation email, use the link in the email to create your password. 
    • If you did not receive an invitation email, email Billing Support with the new user's first name, last name, and email address. 
  • New contacts must have an email address that matches the website domain (unless the client is a verified subsidiary). 
  • After setup, you will receive Payment Portal instructions to help configure a credit card or ACH payment method. 
  • Payments will be made through the Payment Portal. 
 
 

Can I set up automatic payments?

Yes. Auto-pay can be set up in the Payment Portal.  

 
 

Can I provide credit card information by phone?

No. For PCI compliance, credit card information cannot be accepted or processed over the phone. 

To make a payment: 

  • Sign in to the Payment Portal. 
  • Verify that your card information is correct. 
  • Submit your payment. 

If you do not have access to the Payment Portal, provide your email address to Billing Support. An invitation to join the Payment Portal will be sent to you. 

 
 

Why am I receiving invoices if I am set up on Auto-Pay?

  • A PDF invoice is emailed each month for your records. 
  • You can enable Auto-Pay in the Payment Portal. 
    • When Auto-Pay is enabled, invoice payments are processed at 8:00 a.m. EST on the invoice due date. 
      • For example, an invoice dated February 14 and due on March 16 is automatically paid on March 16 at 8:00 a.m. EST using the payment method enrolled in Auto-Pay. 
 
 

Troubleshooting Scenarios

I did not receive a Billing Payment portal invitation after joining.

You should receive a separate email invitation to join the Payment Portal. 

If you do not see the email: 

  • Check your Spam or Junk folder. 
  • Ask your IT department to verify that the Payment Portal website is not being blocked by your email system.

I cannot access invoices.

A browser’s pop-up blocker may be preventing invoices from opening, especially if you are using Internet Explorer. 

Paycor recommends using Google Chrome with the Payment Portal. 

Expected behavior: 

  • When you select an invoice, it opens in a new browser window as a PDF. 
  • If invoices still do not open after disabling pop-up blocking, email Recruiting-Billing@Paycor.com.  
 
 

I cannot delete a credit card or update the credit card expiration date.

The Payment Portal does not allow active clients to remove their default payment method unless another payment method is available. You must add a new payment method before you can remove the current default payment method. 

To add a new payment method: 

  1. Sign in to the Payment Portal. 
  2. Select Payments. 
  3. Select Manage Payment Methods. 
  4. Select Add New Payment Method.
