To accept an electronic signature, you have two options:

  • Paycor E-Signature
    • Paycor E-Signature is free.
    • It is selected by default.
    • No setup is required.
    • Only the candidate can sign the offer letter.
  • DocuSign
    • DocuSign allows a company signer.
    • A DocuSign account is required.
    • You must connect your own DocuSign account. Paycor does not provide a white-labeled or Paycor-branded DocuSign subscription. Paycor does not resell DocuSign seats.

Connect to a DocuSign account

Follow these steps to connect Recruiting to DocuSign.

  1. In Offer Letters > Settings > Signing Offer Letters section, select DocuSign Integration (candidate and company signature).

Signatures on offer letter attachments

You can add attachments to an offer letter, such as a job description, non-disclosure agreement, or benefits overview. For details on adding attachments, refer to Set up offer letters: attachments.

Decide for each attachment whether the candidate must sign it:

  • To collect an electronic signature on an attachment, save the attachment as a Word (.docx) file and include the required signature tokens in the document. For the list of tokens, refer to Set up offer letters: tokens.
  • If an attachment is informational only, no tokens are needed. State in the body of the offer letter template that the attachment is for reference and does not require a signature, so the candidate knows which documents to sign.

Note: Paycor E-Signature collects a candidate signature only. To collect a signature from both the candidate and a company signer on an attachment, use the DocuSign integration.

Send offer letters

  • Admins can always send Offer Letters.
  • Staffing and Standard users must be given permission to send offers.

To allow Standard or Staffing users to send offer letters:

  1. In the Sending Offer Letters section, find Who can Send Offer Letters.
  2. Select the checkbox next to Specific.
  3. Select Standard and Staffing Users and choose the appropriate people from your user list.A screenshot of a computer

Important notes:

Standard users can only send offer letters to candidates on jobs where they’re assigned as a Hiring Manager or Executive.

Offer update notifications

Offer Update Notifications alert users when an offer letter changes or when details stop moving forward.

If you use Paycor E-Signature or DocuSign, users can be notified when an offer letter is sent or rescinded and when a candidate signs or declines the offer letter.

If you do not use an electronic signature option, users can be notified when an offer letter is created or rescinded.

Choose which status changes trigger a notification

  1. In the Offer Update Notifications section, find Notify the following users when the status of an offer letter is updated.
  2. Select the status changes you want to trigger a notification. The available statuses depend on your signature option:
    • With Paycor E-Signature or DocuSign: sent, rescinded, signed, and declined.
    • Without an electronic signature option: created and rescinded.

Set an inactivity reminder

  1. In the Offer Update Notifications section, find After X days of inactivity, notify the following users.
  2. Enter the number of days of inactivity that must pass before Recruiting sends a reminder. A lower number sends reminders sooner; a higher number sends them later.
  3. Choose the users who receive the reminder.

Choose how users receive alerts

You can choose how users receive alerts:

  • Notification Center for in-platform alerts
    • Users read these alerts the next time they sign in to Recruiting.
  • Email for email alerts
    • Recruiting sends the alert to the user's work email address on file.

You can select both delivery methods for the same notification.

Assign notification recipients

For each notification option, choose which users receive the alert. You can assign different recipients to each status trigger and the inactivity reminder, so that hiring managers and recruiters receive the updates that apply to their roles.
