Overview

Internal job descriptions are often written for compliance and internal use. AI tools can help rewrite this content to make it easier for job seekers to read and understand. 

Why use AI tools?

Job descriptions created in Job Management focus on internal clarity and compliance. They are not always written for candidates. 

As a Recruiting administrator, you can use AI tools to: 

  • Simplify technical language 
  • Highlight key duties and qualifications 
  • Create a friendly, candidate-focused job posting 
  • Keep a consistent tone across job ads 

Always review and edit AI-generated content before using it in Recruiting. You are responsible for accuracy, compliance, and company branding. 

Note: Use the same AI prompt for all job descriptions to keep a consistent voice. 

Convert internal job descriptions into effective job posts 

  1. Go to People > People Settings > Job Management. The Job Management screen shows all job titles in your company. 
  2. Select the job you want to recruit for, select Job Specifications, and then select Preview Job Description. The job description opens in a new view. 
  3. Highlight the full job description and copy it. Paste the text into a Notepad or Word document. Keep this file open for the AI prompt. 
  4. Open your preferred AI tool, such as ChatGPT or Microsoft Copilot. 
  5. Copy and paste the prompt below into the AI tool. Follow the instructions inside the brackets [ … ].

Act as a recruiter for a [insert your industry]. I will provide you with a detailed internal job description. Your task is to:

 

1. Summarize the technical job description in plain, engaging language for job seekers.

2. Extract key responsibilities and qualifications.

3. Rewrite the content as a compelling job ad for our careers page and job boards such as LinkedIn, Indeed, Glassdoor, and ZipRecruiter.

4. Use a conversational tone that reflects our inclusive and mission-driven culture.

5. Include a section explaining why our company is a great place to work using these details:

  ○ [paste your company's highlights]

The position is [fully remote, hybrid, or in the office], unless otherwise noted. Please ask clarifying questions before writing the final job ad:

Note: Use this same prompt for all jobs to maintain a consistent voice. 

  1. Review and edit the AI-generated job description. 
    1. Confirm the tone matches your company brand. 
    2. Verify all required duties and qualifications are included.
    3. Make updates for clarity and compliance. 
  2. Copy the final text from the AI tool. 

Create the job in Recruiting 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. From the Recruiting dashboard, select Admin, select Job Management, and then select Job Templates
  3. Select Create a New Template. Paste the AI-created content into the Job Description field. 
  4. Select Remove All Formatting to prevent font or spacing issues on job boards. Use the editor tools to reapply bold text and bullet points as needed. 
  5. Complete the required Job Information fields on the left side of the template. 
  6. Select Save. You can now use this template when posting new job openings.
