Use information requests in Recruiting

Learn how information requests help recruiters ask candidates for more details, make applying easier, meet compliance needs, and connect with passive candidates without slowing down hiring.

Use Information Requests to collect more details from candidates already in the system. Admins, Hiring Managers, and Executives assigned to a job can send these requests. This allows you to set up an initial, shorter application to draw in more applicants. You can then send a secondary application or Information Request to those you want to move forward with later to collect the additional details your company needs. 

This feature helps you gather the necessary details after a candidate applies for or is added to a job. 

Benefits 

  • Simplify the application process  
    • Start with a short application. Request more details later from top candidates. This can increase applications and reduce drop-off. 
  • Collect applications from passive candidates  
    • Send a request to candidates added to the system manually. The application and their response link to their existing profile. 
  • Collect voluntary EEO information  
    • Request EEO details if needed to support compliance. 

Send an information request 

Before you send a request, make sure: 

  • The candidate has a valid email address  
  • The candidate is assigned to a job  
  • The job is active and posted internally or externally  
  • The job is not marked as confidential 

Then follow these steps:

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.  
  2. Select the candidate's name.  
  3. Select the Information icon next to the candidate name. The Candidate Info window opens.

  4. Select Info Request

  5. In the Info Request window that appears, from the Select an Information Request menu, select the Info Request Template you want to send to the candidate.

  6. Select Send Email. The message appears in the Newsfeed on the candidate’s profile, and the Information Request is sent to the candidate.

Remind or cancel an information request 

  1. Locate the information request on the candidate's newsfeed. 
  2. Select Rescind or Remind.  
    If you rescind the request, the original link becomes inactive, and the candidate does not receive additional emails.

Edit information request templates   

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.  
  2. Select Admin, then select Message Templates.  
  3. Scroll to the Info Requests section.  
  4. Select a template to edit.  
  5. Make your changes, then select Save. A confirmation banner displays when your changes are saved.

Frequently Asked Questions 

When an Information Request is sent, what is the candidate’s experience? 

  1. The candidate gets an email with a link. They can select the link to complete their application.

  2. If a candidate clicks to complete their application, a brief intro page appears and asks them to verify their identity (select Continue). They can also select that they are not the intended recipient, if it was the wrong email address. Or they can select I refuse this request, to decline the request entirely.

  3. After they verify their identity, they can proceed with completing the application.

What happens if a candidate declines the application?

The link becomes inactive, and the candidate record is updated with the status change. If they select an inactive link, they get a message that their information request has been declined. 

 
 

Can I request EEO information only? 

Yes. When you first enter the Information Request, select EEO/Min Qual Only

 
 

Does this work with Spanish applications? 

Yes. If the job is set up for Spanish Applications, the corresponding Spanish options appear.  For more information on setting up Spanish Applications, refer to Enable, setup, and use Spanish applications in Application Builder
