Use interview scheduling in Recruiting

Describes administrators start using Interview Scheduling in Recruiting.

This article is for administrators and staffing users. 

 

Overview

Administrators and staffing users can launch Interview Scheduling for candidates in these stages:

  • Recruiter Screen
  • Schedule Phone Screen
  • Schedule an Interview

Note: You can also grant Standard Users the ability to schedule interviews. For more information, refer to Set up the interview scheduling feature in Recruiting for standard users.

Schedule an interview

  1. Go to People > Hiring > Applicant Tracking.
  2. Select the job title.
  3. On Candidate Breakdown, select the candidate name.
  4. Depending on the stage, select either Schedule Phone Screen or Schedule Interview. The Interview Scheduling screen displays.
  5. Select +Add Interviewer.Shows the Schedule Interview popup
  1. Select your first meeting interviewers and add more meetings if needed.
    1. Tip: Select the calendar icon to move the meetings. You can also select different meeting lengths.
    2. Example:
      • Phoebe Phelps is meeting with the candidate individually. 
      • Afterward, Martha and Ivan meet with the candidate together.
      • If there is a time conflict, Recruiting alerts you with an exclamation mark ( ! ). 
      • The conflicting time slot is shown in red.Shows the calendar view of availability
    1. Example: 
      1. Martha Mayhem has something on her calendar from 10:00 AM to 10:30 AM, so these meeting times do not work for her.
      2. If the interview start time is moved to 8:30 AM, then there are no conflicts.Shows a clock to select the start timeShows the calendar view
  1. If you have Interview Rooms set up in Recruiting, add them to each meeting by selecting +Room.Shows adding a room
  2. Select Next.
  3. Review the invitation templates and options. 
  4. Select Schedule Interview or Schedule Phone Screen to send the emails.Shows the details screen
  5. Select Invite the Candidate.

Edit and review details

  1. Go to People > Hiring > Applicant Tracking.
  2. Select the job title.
  3. On Candidate Breakdown, select the candidate name.
  4. To review the settings, select the Phone Screen / Interview Scheduled event. 
    1. You can also see which interviewers have accepted the invite.
    2. Candidates do not receive an Accept/Decline invite, so their responses are not logged here.Shows the interview and if it's been accepted
  5. Go to the Home Dashboard to see scheduled phone screens and interviews, and candidates are color-coded to indicate the general status of the meetings.
